Chapter 11
Whitelist

A Whitelist is a list of sender email addresses that an email recipient always wants to receive emails from. Recipient email addresses can also be added to the Whitelist so that all emails addressed to them will always be delivered.

Selecting Whitelist from the main menu will open a window entitled Whitelist Maintenance. All PostalCare administrators and users have access to Whitelist Maintenance.

There must be a corresponding Whitelist policy created in Policy Maintenance in order for PostalCare to include the Whitelist when processing emails. A default Whitelist policy comes pre-configured in PostalCare. The policy will allow (by default) all emails from each sender (or to each recipient) in the Whitelist to be delivered to the recipients.

In Whitelist Maintenance you can add, modify, delete or disable any entry on the Whitelist.

Whitelist addresses can be any of the following:

Clicking on the Create Printable Report icon will create a printable .RTF file report of the Whitelist entries.

Type

The Type column displays the type of address that each whitelist entry is. The type can be one of the following:

Address

The Address column inside the Whitelist table displays the addresses entered into the whitelist.

The addresses can be modified, deleted or disabled by selecting the appropriate option under the Action column. A whitelist entry can also automatically be moved to the Blacklist by placing a checkmark in the box beside Move to Blacklist in the Action column. The Created column contains the Date and Time that this record was entered into PostalCare. The Last Activity column displays the date and time of the last email processed that was sent to each whitelisted address. The Count column displays the number of emails from each whitelist entry that have been processed by PostalCare. Click on the Refresh button to refresh the current window and update any counts and statistics that are displayed. Click on the Add a New Whitelist Entry button to add a new address to Whitelist. A pop-up window will open entitled Add Whitelist Address. The Whitelist is a list of senders (where the email comes from) that an email recipient always wants to receive emails from. Inside the Add Whitelist Address window you can select the type of address to whitelist (Email Address, Domain or SMTP Server IP), then enter in the address and update the whitelist. The Select Type drop-down list is where you select the type of address to add to your whitelist. The three types of addresses are: Email Address Domain SMTP Server For example: Email Address - a specific email address to whitelist: i.e. [email protected] All emails coming from [email protected] will be successfully delivered. Domain - a domain name to whitelist: i.e. aol.com All emails coming from the entire domain of aol.com will be successfully delivered. SMTP Server - a specific SMTP Server IP address to whitelist: i.e. 111.222.333.44

All emails coming from the SMTP Server IP address 111.222.333.44 will be successfully delivered.

Once you select a type of address, then go to the next Address field and type in the address to add to the whitelist.

Click on Add Address to add the address to the whitelist.

Clicking on Cancel will return you to Whitelist Maintenance with no new whitelist entries added.

The Address field is where you type in either the email address, domain or the SMTP server IP address that you want to add to the whitelist. The Whitelist is a list of senders (where the email comes from) that a user always wants email delivered from.

Type in the address that you want to whitelist. Make sure the address is entered in the correct format for the type of address that you selected. For example:

Email Address: [email protected]

Domain: somedomain.com

SMTP Server IP: 62.66.42.123

The original type of address whitelisted is displayed in the Select Type drop-down list. To modify the address type, click on the down arrow in the drop-down list and select the new address type. Email Address - to enter a specific email address to the list.

Domain - to enter a specific domain name to the list.

SMTP Server - to enter an SMTP server IP address to the list. Then go to the Address field and make any necessary modifications to the address to whitelist.

After modifying the type and address, click on the Modify Address button to update the whitelist entry. Clicking on Cancel will return you to Whitelist Maintenance without modifying the whitelist entry.

The Address field contains the original whitelist address entry. You can modify the address by directly making the changes to the address or by deleting the address and typing in the new one.

After modifying the type and address fields, click on the Modify Address button to update the whitelist entry. Clicking on the Cancel button will return you to Whitelist Maintenance without modifying the whitelist entry.

Blacklist

12.1 Blacklist Maintenance Overview

A Blacklist is a list of sender addresses (where the email comes from) that an email recipient does not want to receive emails from. Selecting Blacklist from the main menu will open a window entitled Blacklist Maintenance. All PostalCare administrators and users have access to Blacklist Maintenance.

In Blacklist Maintenance you can add, modify, delete or disable any entry on the Blacklist. Blacklist entries can be any of the following:

There must be a corresponding Blacklist policy created in Policy Maintenance in order for PostalCare to include this blacklist when processing emails. A default Blacklist policy is created when the first address is added to the list. The policy will block (by default) all emails from each address in the Blacklist. The Blacklist policy can be modified in Policy Maintenance (select Policies in the main menu). See Chapter 10 for more information on modifying policies.

Clicking on the Create Printable Report icon inside the table heading will generate a printable .RTF file report of all the Blacklist entries.

The blacklist entries can be modified, deleted or disabled by selecting the appropriate option in the Action column.

Click on the Refresh button to refresh the current window and update any counts and statistics that are displayed.

A blacklist entry can also automatically be moved to the Whitelist by placing a checkmark in the box beside Move to Whitelist in the Action column.

12.2 Blacklist

The table in Blacklist Maintenance displays the following information for each entry:

Type

The Type column displays the type of address that this blacklist entry is.

The type of address can be any one of the following:

Address

The Address column displays the addresses entered into the blacklist. Addresses can be one of the following:

Created

The Created column contains the date and time that this record was entered into PostalCare.

Last Activity

The Last Activity column displays the date and time of the last email processed that was sent from each blacklisted address.

Count

The Count column displays the number of emails from each blacklist entry that have been processed by PostalCare.

Action

The Action column displays the action options available for each blacklist entry in the list.

The action options are:

12.2.1 Add a New Blacklist Entry

To add a new entry to the blacklist, click on the Add a New Blacklist Entry button. A new pop-up window will open entitled Add Blacklist Address.

Inside the Add Blacklist Address window you can select the type of address to blacklist (Email Address, Domain or SMTP Server IP), then enter in the address and update the blacklist.

The Select Type drop-down list is where you select the type of address to add to your Blacklist. The three types of addresses are:

Once you select an address type, go to the Address field and type in the address to add to the blacklist.

Blacklist Email Address

To blacklist a specific email address, type in the exact address into the Address field. For example:


  [email protected] 

All emails coming from [email protected] will not be delivered.

Blacklist Domain

To blacklist a specific domain, type the domain name into the Address field. For example:


  spammer.com 

All emails coming from the entire domain of spammer.com will not be delivered.

Blacklist SMTP Server

To blacklist a specific SMTP Server IP, type the server IP address into the Address field. For example:


  111.222.333.44 

All emails coming from the SMTP Server IP address 111.222.333.44 will not be delivered.

Click on the Add Address to add the address to the blacklist.

Clicking on Cancel will return you to Blacklist Maintenance without adding any new Blacklist entry.
