14.1.4.2 File Type Description

Type in a brief description (50 characters max) for the new attachment file type you are adding to the File Types list. The description field is required. For example:


  Description: Executable Image 

14.1.4.3 Block File Type?

Place a check inside the check box beside Block File Type? to add the new attachment file type to the list as blocked. To add the attachment file type as allowed, leave the check box blank.

The attachment file type can be also blocked or unblocked from the option in the Action column inside the File Types table, and also is available as an option inside the Modify window.

Click on the Add File Type button to complete adding the new file type record.

14.1.5 Modify a File Type

Depending on what action is specified for the Blocked file types policy (that is the condition of the policy--the name can be different), the email containing an attachment file type marked as blocked on the list may be blocked, labeled as spam, or the attachment removed or renamed, or allowed. The action of the policy can be modified in Policy Maintenance (Policies in the main menu under List Maintenance).

File Type field displays the file type extension for the file type being modified. If the file type being modified has a Created date of Default in the File Types list, then the file type field will be disabled and cannot be modified.

If the file type being modified was added to the File Types list after PostalCare was installed, and there is a date/time inside the Created column, then this file type extension can be modified.

To modify the file type, delete the existing extension inside the File Type field and type in the new extension. Click on the Modify File Type button to save the changes.

The Description field contains the previously entered description for the file type being modified.

To modify the file type description, delete the existing description and type in a new one. Click on the Modify File Type button to save the changes.

You can choose whether or not to block this particular file type when you modify the details. Place a checkmark in the checkbox beside Block this file type? if you want it blocked.

If attachments are allowed at the system level, then the Attachment File Types policy (in Policy Maintenance) will scan the list of file types and (by default) remove the attachment file types that are marked as Blocked from emails that are processed. The Attachment File Types policy can be modified to take a different action on emails that contain a blocked attachment file type:

To change the action taken on file types marked as blocked in the File Types list, go to Policy Maintenance and modify the policy that has Attachment File Types as the Policy Condition.

When attachments are allowed, and the file type listed is not blocked, all emails containing that particular file type as an attachment will be delivered unless otherwise specified in a different attachment policy in Policy Maintenance.

If attachments are not allowed at the system level, the action of the Attachment File Types policy will be in effect on all of the listed file types.

14.1.6 Block or Unblock a File Type

To block a file type just place a check inside the checkbox under the Action column heading for the file type listing. The window will refresh and the file type entry will be displayed in red.

To unblock a file type just remove the check inside the checkbox. The window will refresh and the file type will be displayed in green (allowed).

14.1.7 Attachment Name Policies

Attachment Name policies can be created to tell PostalCare what to do with emails processed that contain attachments that are allowed in the list of attachment file types (or just what to do with specific attachment filenames & file types). These policies can be created and modified in Policy Maintenance. See Chapter 10, Policies for more information.

16.1 Division Maintenance Overview

In PostalCare, a System Administrator can split up the email recipients within the organization into divisions and groups. This makes it easier for large organizations to maintain the management of emails and user accounts within PostalCare. In addition, Division Administrators can create groups within their own division for easier maintenance.

A standard configuration hierarchy could be:


  System 
    Divisions 
      Groups 

16.2 Division Maintenance

Clicking on Division in the main menu will open a new window entitled Division Maintenance. The options available in Division Maintenance are:

  1. Add a new division
  2. Modify existing divisions
  3. Delete a division

17.1 Groups Overview

In PostalCare, a System Administrator can split up the email recipients within the organization into divisions and groups. This makes it easier for large organizations to maintain the management of emails with PostalCare. In addition, Division Administrators can create groups within their own division for easier maintenance.

Divisions do not have to be configured in order to create groups. A group can be created at the system level as well.

Clicking on Groups in the main menu will open a new window entitled Group Maintenance. The options available in Group Maintenance is:

  1. Add a new group
  2. Modify existing groups
  3. Delete a group

Top Reports

19.1 Top Reports Overview

Selecting Top Reports in the main menu will open a new window entitled Top Reports.

A Top Report is a detailed report of up to the top 20 data records each specific report contains. If 20 data records are not available, the report will display all the records that are available.

The list of available top reports is displayed inside the Top Reports window. Multiple reports can be run at the same time by selecting the checkboxes beside each report name, then selecting the Create Report button at the top or bottom of the table.

Each report will first be displayed inside an HTML table. If multiple reports are selected, the tables will be displayed in the same window.

The option to create a printable report (in .RTF format) is available in each table heading.

19.1.1 Recipient: Total Email Count

The Recipient: Total Email Count reports display the top 20 recipients of incoming, outgoing and internal emails processed by PostalCare. They include emails that have been successfully delivered, blocked and labeled as spam. The reports are generated based on the count of emails received. For each record, the recipient email address, last message date and time, count and volume details are displayed.

19.1.2 Recipient: Total Email Volume (KB)

The Recipient: Total Email Volume (KB) reports display the top 20 recipients of incoming emails, outgoing emails and internal emails through PostalCare. The reports are generated based on the volume in KB (kilobytes) of the emails received. For each record, the recipient email address, last message date and time, count and volume details are displayed.
